Information We Collect
From our website
When you interact with Brightroom Studio, we may collect the following information:
- Your name
- Your email address
- Your phone number
- Your message
We also use standard analytics tools that may collect general usage data like pages visited, time on site, and browser type. This data is anonymous and used only to improve the website.
From the booking process
When you book a studio session, you're directed to our booking system powered by Acuity Scheduling. Acuity collects the information needed to complete your reservation, including:
- Name, email address, and phone number
- Payment information (processed securely through Stripe)
- Booking details such as date, time, and session type
Your payment information is processed securely through Stripe and is never stored on our servers. Acuity Scheduling and Stripe have their own privacy policy that governs how they handle your data. You can review it at acuityscheduling.com and stripe.com.
We maintain our own internal booking records using Zapier, an automation platform. These records include your name, email address, phone number, and booking details. We use this data solely to manage your reservation and send booking-related communications — such as your studio access PIN. We do not store your payment information in these internal records.
Security Monitoring
The Studio utilizes audio and video monitoring systems for safety, security, and operational purposes. By entering the Studio, you consent to such monitoring as further described in the Studio Rental Agreement.
How We Use Your Information
We use the information we collect for the following purposes:
- Confirm and manage your studio bookings
- Send you important information about your reservation, including your access PIN
- Respond to questions or messages submitted through the contact form
- Send newsletters to subscribers (only if you opt in)
- Improve our website and services
We also use booking information to generate time-limited access credentials (such as entry PINs) through third-party access management tools in order to facilitate secure entry during your reservation.
Email Communications
If you subscribe to our newsletter, we'll occasionally send updates about the studio — new equipment, availability, promotions, and so on.You can unsubscribe at any time by clicking the unsubscribe link in any email or by contacting us directly.
Booking-related emails (confirmations, access PINs, reminders) are transactional and are sent as part of your reservation. You will receivethese regardless of newsletter preferences.
Cookies & Analytics
Our website may use cookies and third-party analytics tools (such as Google Analytics) to understand how visitors use the site. These tools collect anonymized data and do not identify you personally.
Most browsers allow you to control or disable cookies through their settings. Disabling cookies will not affect your ability to browse the site or make a booking.

We take reasonable precautions to protect your information. Booking and payment data is handled by Acuity Scheduling and Stripe, both of which use industry-standard encryption and security practices.
No method of transmission over the internet is 100% secure, but we do our best to protect your data and work only with reputable third-party services that do the same.

- Acuity Scheduling - online booking and payments
- Webflow - website hosting and content management
- Zapier - automated booking confirmations and communications
- Seam API - generate access codes to program on smart lock
- Sprout - newsletter distribution

Data Retention
We retain booking records and contact information for as long as reasonably necessary for business and legal purposes. If you'd like your information removed from our records, contact us at hello@brightroomstudio.com and we'll do our best to accommodate your request, subject to any legal obligations we may have to retain certain records.
Children's Privacy
Our website and services are not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
